We have a tremendous in-office opportunity for a Junior – Mid Events Coordinator/Project Manager to support and assist the Marketing & Sales departments in this brand-new role at a leading manufacturer in the décor hardware sector based in Cape Town’s Northern Suburbs.
 
The successful candidate will be responsible for implementing the brand strategy and managing the Brand’s events across exhibition stands particularly for trade days/supplier expos, smaller regional events, their annual sales conference, and managing collateral for informal events, with future growth into new event types.
 
The role will see you developing good working relationships with Key Accounts, internal departments, the Sales Team and various suppliers.

Responsibilities
 
General
 
    • Ensuring brand uniformity and consistency
    • Budget and cost management
    • Research, site visits and competitor analysis
    • These events might incorporate new product launches and feature products
    • Corporate gifts and clothing
    • Maintaining a strong working relationship with our Sales Director and Sales Team – input, buy in, marketing instructions, sales tools
    • Working with internal departments for input, buy in etc.  Including technical team and finance
    • Liaising with key accounts/stockists when necessary
    • Management of suppliers, event organisers and venue team: from sourcing new suppliers and briefing to design, production, installation, quality control, breakdown and storage.
    • Identifying new marketing opportunities.
 
 
Annual Internal Sales Conference (Report to Sales Director)
 
    • Theme/Name
    • Event dates and order of events
    • Venue and bookings
    • Budget
    • Travel arrangements, accommodation, vehicle access
    • Delegates:  Invitations, RSVPS, event packs, contact details, dress code, gifts/goodie bag/pillow drops
    • Conference and meeting rooms:  Agenda for each conference day, keynote speakers, coordination of presentations, audio-visual and electrics
    • Awards Evening:  venue, awards/certificates, photography
    • Entertainment and activities
    • Catering, beverages, bar allowance
    • General onsite management and setup
    • Health and safety compliance
    • Branding opportunities.
 
Large Events: Exhibition Stands Particularly For Trade Shows (Custom Stands, Fabric Reusable Stands)
 
    • Package type, booking & registration forms
    • Retailer theme and the Brand’s product/ interpretation of theme
    • Set up date/s, Event date/s
    • Venue
    • Stand details:  event map with stand position, type/layout, size and number
    • Stand layout, design and production specs – custom vs reusable fabric, freestanding items
    • Source stand builder and liaise with design agency
    • Installation – set up, event and breakdown
    • Guests/Delegates:  Invitation, RSVPs, follow ups, task list, uniforms
    • Sponsorship and branding opportunities
    • Activations / competition where needed
    • Photo backdrop wall where needed
    • Charity
    • Catering
    • Operational items such as vehicle access, lighting, electrical needs, Audio Visual Equipment
    • Agenda/order of events
    • Safety compliance
    • Post-event analysis, storage and storage facilities, stock take, thank you / winner announcement for competitions.
 
 
Medium Regional/Provincial Events
 
    • Smaller trade days – custom stands vs modular shell scheme with fabric reusable fabric stands and some portable custom elements such as counter, storage, furniture, product display, flooring, audio-visual
    • Golf days
    • Requirements vary for indoor vs outdoor events.
 
 
Informal Events
 
    • Supply and management of event collateral needed for in-store events, launches, carnivals, golf days
    • Gazebos/tents, banner walls, counters/demonstration tables, banners/flags, furniture
    • Activations / competition where needed
    • Set up and breakdown by Sales Team.
 
Potential Events
 
    • Design and décor exhibitions
    • Staff internal functions
    • Customer workshops – contractors, specifiers, end users
    • Activations at events, shopping malls and hardware stores
    • Retail shopfitting.
 
 
Requirements
The successful candidate must have/be:
 
    • 3 Year Marketing qualification (University Degree or Diploma through reputable tertiary institutions such as Vega School, IMM Graduate School, AAA School of Advertising, Red and Yellow Creative School of Business)
    • Experience in events is essential – Account Management / Project Management experience at an exhibition stand builder or event management company is advantageous.
    • Minimum 5-10 years Marketing experience.
    • Computer literacy in Word, Excel, PowerPoint, Internet, E-Mail, Cloud
    • A hardworking, dedicated and honest individual with initiative and enthusiasm
    • Exceptional project management skills – ability to manage multiple jobs
    • Ability to work independently as well as take instruction and leadership
    • Strong organisational skills and high attention to detail
    • Hands on approach
    • Willingness to learn
    • Team player who enjoys working with people and good interpersonal and communication skills
    • Able to travel when required for projects (predominantly to JHB/Durban)
    • Require strategic, creative and practical skills for the creation and implementation of projects
